Many out-of-town participants may plan to stay with friends or at hotels in various parts of Tokyo. However, in order to have the best experience at JALTCALL 2000, it is suggested that you stay near the site in nearby Hachioji City, where discounted rates are available for conference participants. Travel time from central Tokyo to the conference site is at least an hour and a half, and this long commute could easily undermine one's enjoyment of the conference.

Within walking distance of JR Hachioji station there are several hotels in various price ranges. Information about some of them is listed on this page. We also list the name of an agency, Nikkan Travel Service, which has arranged JALTCALL shukuhaku plan(see the link below to the reservation application form) that provides discounts on regular hotel rates in Hachioji.. For all arrangements it is advisable to communicate in Japanese, as only the more expensive hotels tend to have English speaking staff. Nikkan Travel Service is accustomed to doing business with Japanese clients, but they have an English-speaking staff member who will be able to give some assistance to anyone who cannot make reservations in Japanese.

JALTCALL 2000 organizers and the Tokyo University of Technology have no official responsibility or endorsements for arranging accommodation for participants. The information on this page is provided merely for the assistance of those who plan to attend. Nikkan Travel Service is listed because of the university's past experience with the agency in arranging local accommodation for students taking entrance examinations. Because of their relations with local hotels, they have been able to arrange discounts for participants of the JALTCALL 2000 conference.

Hotels with special rates for JALTCALL 2000 Conference participants

To obtain these special rates, reservations must be made through Nikkan Travel Service, and you must identify yourself in your application as wishing the 'JALTCALL shukuhaku plan'. Transportation to the site will be available from these hotels.

Nikkan Travel Service adds an additional 500yen non-refundable fee to the costs listed in the chart.

Procedures for making reservations through Nikkan Travel Service:

  1. To assure that enough hotel space can be booked, the deadline for applications has been set as May 20, 2000.
  2. Download the application form to your computer, then e-mail it, fax it, or print it out and mail it to:

    Indicate on the form your preference for hotels, in order. The agency will make its best efforts to place you in your preferred hotel, but availability cannot be guaranteed. Also be sure to indicate that you want theÅeJALTCALL shukuhaku plan.Åf

  3. The agency will send you a reservation confirmation slip and an invoice. Take the invoice to any Japanese bank and pay by furikomi to the bank and account number indicated. Keep the confirmation slip and furikomi receipt and bring them to the hotel.
  4. If you wish to make changes, do so as early as possible. Changes and cancellations can only be processed through Nikkan Travel Service, during their business hours (Mon - Fri 09:30-18:00, Sat 09:30-15:30). Indicate on all correspondence that you are on the 'JALTCALL shukuhaku plan'.
  5. The following terms apply to refunds:

a.cancellations made more than 10 days before check-in: 100% refunded

b.cancellations made 10-8 days before check-in: 90% refunded

c.cancellations made 7-2 days before check-in: 80% refunded

d.cancellations made 1 day before check-in: 50% refunded

e.cancellations made on the day of check-in: no refund

f.the agency's fee of 500yen is not refundable for any cancellations

If you wish to arrange reservations yourself, the information on some hotels in Hachioji is listed in this chart. Prices are not listed. Participants who make their own arrangements will not be able to obtain the discounted rates available through Nikkan Travel Service.

Please ensure that you have filled in TWO choices on the form to avoid disappointment. Please send your accommodation request as soon as possible, and certainly by 20 May 2000. Click the 'SEND FORM' button, or print out the form and fax to Mr T.Shimura on 0426-23-4435(Country code 81).

Accommodation requests are dealt with on a first-come-first-served basis. We reserve the right to propose alternative accommodation (within reason) if your chosen hotels are full.

We will send you a confirmation slip through the post, detailing your booking. Your room will be kept for you until 23:59 on 19 May 2000. After this time the hotel reserves the right to make the room available for other guests. If you wish to accept the reservation on the confirmation slip, please pay by bank transfer (account details are on the slip.) If you do not wish to accept the reservation on the confirmation slip, simply do not bother to send payment, and your reservation will automatically lapse on 20 May 2000 with no cancellation charge.

If you wish to cancel after you have paid, please inform Mr T. Shimura by fax/email by 19 May 2000, and you will receive through the mail a refund by postal order, minus a handling charge of 500yen per person.
